MEALS

In order to avoid food waste and adjust quantities as accurately as possible, we would be grateful if you could inform us of your participation in meals:

For your information, all lunches as well as the IceBreaker will take place within the Palais des Congrès in Arcachon.
The social dinner will be held at the Halles du Marché, which is located 5-10 minutes by walk from the Palais des Congrès. No bus will be provided.

CANCELLATION CONDITIONS

The service provider will refund the participant according to the cancellation and modification policy below:

• Cancellation up to September 30, 2025: 50% penalty.
• Cancellation after September 30, 2025: no refund.

RULES OF PROCEDURE

Access to the conference is exclusively reserved for attendees whose registrations have been validated by the organization. The organizers have the right to invalidate the badges and refuse access to any individuals who do not respect the rules of procedure or whose behavior would be likely to disturb the smooth running of the event.

For security reasons, only badge holders can access the conference. You will also be asked to show an ID in order to access the conference. All participants are bound to respect safety measures and health procedures applied on the dates of the conference.

The organizers cannot be held responsible for the actions or behavior of the participants.

In accordance with the amended Law No. 78-17 dated 6 January 1978 and the Regulation (EU) 2016/679 dated 27 April 2016, GL Events Exhibitions Operations, controller, informs you any data shall be processed primarily for the following purposes: registration and SWOT 2025 attendance, newsletters sending, satisfaction survey.
The communication of these data is optional. As your consent constitutes the legal basis for the processing, it can be revoked at any time.
The recipients of the personal data are the relevant GL Events Exhibitions Operations departments, partners of GL Events Exhibitions Operations if applicable, and potentially some processors. GL Events Exhibitions Operations shall only keep personal data for such time as is necessary for the operations for which it was collected and in compliance with the regulations in force. They shall ensure the security of personal data by implementing a data protection system reinforced by the use of physical and logical security methods.
You have the right to access, question, correct and challenge any data that refers to you, the right to data portability, the right to obtain restriction of processing, and the right to set out general and specific guidelines establishing the manner in which you intend these rights to be exercised after your death.

I, the undersigned, agree to be photographed and filmed during the SWOT Science Team 2025.
I hereby grant CNES, free of charge, for its internal and external communication needs, the right to shoot, record, edit, broadcast and use (including reproduction, representation, translation, adaptation, dubbing and subtitling) all or part of the images and sounds recorded on the audiovisual work, whether this work is produced directly by CNES or through a third party, a service provider on its behalf, that it has authorized.
This authorization is valid for all media, supports and processes, existing or future, used by CNES.
