The WADEM Congress is working hard to minimize waste. To achieve this, we pre-order food and beverages for delegates confirming their participation.
 

Lunch organisation

Lunches are included in the registration fee. To ensure a smooth and pleasant lunch experience for all participants, lunches on Tuesday 27, Wednesday 28, and Thursday 29 April will be organised in time slots.

We encourage you to select one lunch time slot for each day of attendance when registering. If you do not yet know your selected time slot, you will be able to indicate your slots later or update them on your personal account.

Visa invitation letter

Please ensure that you check your visa requirements to enter in France to prevent any delay in your visa application. For guidance and further information, delegates should consult the following link: Travel Center .

If you require a letter in support of visa application, complete the below form. The visa invitation letter will be shared in your congress account once your registration is fully completed and your request is processed.

Please note the organizers cannot intervene in your visa application process; you are responsible for managing your own visa application once your visa invitation letter is issued.

Refunds will be accepted in case of visa refusal, subject to a 5% deduction from the registration fee. Please contact the congress secretariat with an official proof of refusal.

CANCELLATION POLICY
Unforeseen circumstances might result to cancellations. Only written cancellations by email will be accepted based on the received date. Registrations can be transferred to another attendee by emailing the Secretariat. 

Please note that refunds will be processed according to the following cutoff dates: 

• Cancelling 60 days prior to the Congress (February 25) will involve a 20% penalty
• Cancelling between 59 days and 30 days prior to the Congress (March 27) will involve a 50% penalty
• Cancelling 29 days prior to the Congress (March 28) will involve a 100% penalty. No reimbursement will be made.
• In case of VISA refusal, your registration fees will be refunded less a 5% administrative fee. a proof of refusal is required.

Payments made on-line with a credit card will be refunded on this valid credit card. For bank transfers, refunds will be processed via bank transfer in Euros after completion of WADEM 2027. Bank charges are the responsibility of the registrant.

WADEM congress organizers are not responsible for any losses incurred by attendees, including (but not limited to), hotel deposits, and airline/train cancellation charges.
